Access and Eligibility Services (AES) connects Texans to the services and supports that reduce institutionalization, allow individuals to remain in their communities, and promote economic and personal self-sufficiency.
AES seeks a highly motivated, detailed-oriented candidate to fill the Executive Assistant position in the Office of the Deputy Executive Commissioner. The ideal candidate is customer-focused, has excellent follow through under limited supervision, exercises good judgement, and thrives in a fast-paced office environment. Prospective candidates should also have excellent communication skills and be highly proficient using Microsoft Word, Excel, PowerPoint and Outlook.
The Executive Assistant position is responsible for providing senior-level administrative support to the Deputy Executive Commissioner. This work includes, but is not limited to calendar management, coordinating travel arrangements, and routing documents for review and approval.
This position also oversees the performance of several administrative functions in the office, including but not to coordinating with other executive offices to the complete administrative assignments and resolve administrative issues. This position will supervise the work of staff performing administrative functions.


Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Supervises administrative support staff and oversees the performance of complex and critical administrative functions such as human resources, purchasing, training, and records and property management. (30%)
Plans and coordinates meeting requests with and on behalf of the Deputy Executive Commissioner and ensures meeting preparedness. (20%)
Coordinates with other executive offices to distribute documents for review and approval, complete administrative assignments and resolve administrative issues. (20%)
Oversees travel arrangements and reporting for the office (15%)
Provides consultative services and technical assistance to staff to standardize internal administrative processes and assists in the development and implementation of administrative policies and procedures. (10%)
Performs other duties as assigned by the Deputy Executive Commissioner or Senior Staff Director. (5%)


Knowledge Skills Abilities:
Education: Completion of two (2) years (sixty credit hours) from an accredited college or university. Education may be substituted for the required work experience on a year-for-year basis.
Experience: At least five (5) years of administrative support-related work or similar work experience
Knowledge of general office practices and administrative procedures.
Intermediate-level skills and experience using Microsoft Word, Excel and Outlook software programs
Extensive skill in using a computer for word processing and data entry/retrieval
Extensive skill in handling multiple tasks, prioritizing, and meeting deadlines
Extensive skill in exercising sound judgment and effective decision making
Extensive skill in effective oral and written communication
Ability to implement new administrative systems and procedures and to evaluate their effectiveness
Ability to interpret rules, regulations, policies, and procedures
Ability to communicate effectively
Ability to collaborate with others in a professional office environment and respond positively to constructive feedback
Ability to provide excellent customer service
Ability to arrange business-related travel arrangements for multiple travelers
Ability to work more than 40 hours as needed and in compliance with the FLSA
Ability to type at least 45 words per minute (WPM)
Ability to travel (including overnight travel) up to 10%
